Small Business: How to Manage Customers and Wholesale Orders

Details

Is it becoming increasingly difficult to manage customers and bulk orders? Having trouble putting together an order from start to finish? Do you think you could reduce the time gap between receiving and shipping an order? You can come out of all these logistical problems by getting smarter with an efficient order fulfillment system. Meeting the orders during a holiday season or shipping for wholesale orders can be a daunting task if you don’t have a well-planned management and delivery system in place. It is rather easy to be smart if you play with a plan. Let us look at some aspects of a handy order fulfillment plan that could make this process for your business smooth.

The first step to building an order fulfillment system is time-consuming. But once you are done with it, everything else will just fall in place. Stick to the following points:

  • Write down all you need to do to fulfill an order from start to finish.

  • In the list, if you find anything that you think should be toggled around, grouped together or separated for better flow, go ahead and do it.

  • Run through the list again to check if there are any missing links or hang-ups, just in case. This is your worksheet!

  • Make sure the things-to-do worksheet is printed and placed in such a way that you can easily see it when filling orders. After doing it for a while, you probably won’t need it as you will become methodical and learn how to fulfill the orders without much fuss.

Make it a regular practice in order management and don’t lose control over this crucial aspect in ensuring customer satisfaction. Although various industries manage their order fulfillment operations differently, one thing remains invariable: the faster the order is delivered, the happier is the customer (assuming the quality of deliverables are not compromised).

Many small businesses, unlike the big players, find it difficult to tackle wholesale orders. Given that it is of high value and going to be a long-term engagement, the relationship with wholesalers need to be managed thoroughly and professionally. It is easier to make a retail customer happy just with warm gestures like sending an occasional greeting card. But it is a different ball game altogether when dealing with wholesale customers. Timely delivery and quality assurance are the two most crucial things that you need to really focus on. For a wholesale order, the most important task is to reach an agreement with the customer about the specifics of packing and the mode of delivering the merchandise. It is always better that you personally monitor to make sure that the order is packed well and intact before it leaves for transit. Being in regular touch with your wholesale customers will help you understand what they exactly have in mind.

Whenever you receive a big order from your wholesaler, the big question will be how to deliver the shipment?

You can always find a manufacturer or a wholesale distributor with whom you can have a long and mutually beneficial relationship with. Also, having multiple suppliers may result in lower shipping costs and shorter delivery times. For example, if a storefront has a supplier in California and another in New Jersey, it makes sense to have the California-based supplier to deliver orders in the western part of the US and the New Jersey-based supplier to deliver orders in the eastern part of the country.

Always remember that however smartly you plan, there can be a glitch or two in satisfying your customer orders. Maintaining a healthy relationship with them and preparing for possible contingencies will give you the advantage. Are you ready for the next wholesale order?
